The Aging Deficiencies Dashboard shows you the age of deficiencies (open items) based on the time since the items were created. This is different from the Priority Open Item Dashboard that shows you deficiencies based on due dates. You can set 3 custom date ranges in Customization Preferences area. Our default is 7 days, 30 days and 90 days. While this information can be useful for all companies, it is especially useful for companies that do not close their open items (i.e. move from Open to QC or FIXED). Now, you can manage open items by age without managing due dates.
- The dashboard filters are "sticky," meaning it will remember the filters you selected the next time you return to the screen. "Sticky" filters are cleared and defaults reset when you close out the browser or logout of FTQ360.
Instructions
1. Go to: Deficiencies > Aging Dashboard.
2. Dashboard Overview
Inspection Activity is broken into date range/time frames and the colored sections of the bars show you the age of the deficiency. Age ranges include: Up to 30 days, Up to 90 days, Older than 90 days.
Color Codes on the dashboard:
- Orange = Up to 30 days
- Red = Up to 90 days
- Purple = Over 90 days
A. Project: This graph shows you which projects have open items, how many open items, and color codes depicting the age range of those open items.
B. Status: The Status area breaks down the number of open items per age range group. You can set the age range parameters in Setup>Customization>Customization Preferences. Click here for instructions.
C. Primary Responsible Party/Crew: The Primary Responsible Party is the Responsible Party selected for the checklist, and is listed in the blue header on the inspection. This chart shows you which Primary Responsible Parties have open items, how many open items, and color codes depicting the age range of those open items.
D. Deficiency Responsible Party/Crew: The Deficiency Responsible Party is listed as the assigned Responsible Party to a specific open item. This chart shows you which Deficiency Responsible Parties have open items, how many open items, and color codes depicting the age range of those open items.
E. Inspector: This chart displays each inspector name who currently has inspections with open items, how many open items, and color codes depicting the age range of those open items.
F. Checklist: This chart displays each checklist with open items, how many open items, and color codes depicting the age range of those open items. This chart is useful to determine which checklists are producing the most open items.
G. Category: This chart displays each checklist category with open items, how many open items, and color codes depicting the age range of those open items. This chart is useful to determine which checklist categories are producing the most open items..
H. Priority: If you assign priority codes to open items (example: 1-severe, 5-cosmetic) then use this chart to see the number of open items within each code.
I. Stats: This info section provides details on the total number of open items, the number of inspections, projects, checklists, and inspectors with open items, and the average age (length of time) items are remaining open, .
J. Expand to See More: Click this button to increase the viewing area of the graphs and to display more data.
K. Deficiencies: This section lists each open item in grid or calendar view. Click on the blue Item description to open the checklist with that deficiency. You can also update statuses and due dates on the grid.
L. Grid View: Select this button to view the Deficiency list in a table format.
M. Calendar View: Select this button to view the Deficiency list in a calendar format.
N. Date Range Drop Down: Click this drop down menu to select a pre-set date range. The data in the graphs and in deficiency grid will recalculate to the selected date range.
O. Search Field: Type keywords in the search box to filter the Deficiency grid by specific criteria, such as a status, project name, inspection ID number, etc.
P. Category:This section shows you the number of deficiencies per category
3. Dashboard Data Downloads: You can download the data displayed on your dashboard screen.
Click the small download icon on the top right-hand side of each chart area and a CSV file of the underlying data is downloaded. This makes it easy to copy the data and use it in other spreadsheets, reports and management dashboard software.
4. AZ Sort: Click this icon to sort the data displayed on a graph alphabetically from A to Z or Z to Z.
5. Dashboard Filters: Dashboard filters make it easy to provide different combinations of data.
- Apply Dashboard Filters: Click a data source (Project, Phase, Inspector, Responsible Party, etc.) to recalculate the dashboard data to display just the information pertaining to that source. You can choose multiple sources to keep mining deeper into the data (Project Name + Phase + Responsible Party.) For example, if you want to only see information pertaining to a single inspector, click the inspector’s name to filter the dashboard by that inspector. If you want to see that inspector’s activity in a specific project, click the inspector’s name then click the project name.
- Remove Dashboard Filters: You can remove dashboard filter by clicking the red “X” beside the filter icon in the upper right hand corner of the data box. (If the icon isn't displaying correctly, you may need to clear the browser cache.)
