An approval checkpoint is a specific point in an inspection process that requires formal authorization to proceed. It acts as a "hold point," pausing the process until a designated person reviews the work, verifies it meets specific criteria, and gives official sign-off. This ensures quality standards are met at critical stages before production or a project continues.
Instructions
Add an Approval Checkpoint to a Checklist
- Select a checkpoint in System Admin>Checklist Setup.
- From the edit panel on the right hand side of the screen, find the "Checkpoint Type" field.
- In the Checkpoint Type Field, select "Approval" as the checkpoint type.
Set the Approvers in User Setup
To set a user as an Approver, go the User Setup and click the Approval Sign Off toggle under Permissions & Roles. This will make the user an Approver in projects where that user has Create permissions.
- Go to System Admin>User Setup
- Select the User's name
- On the edit panel on the right hand side of the screen, scroll down to Permissions & Roles
- Click the "Approval Sign Off" toggle
Use the Approval Checkpoint in an Inspection
- The field inspector completes an inspection.
- When the inspection is ready to be approved, the inspector selects the Approver's Name and clicks the Ready For Review (R4R) checkbox.
- The Approver will be notified that the inspection is ready for approval. (See below for more info.)
- The Approver clicks the "Approved" checkpoint and then adds a signature by clicking the pencil icon.
Pending Approval Listing Grid
A Pending Approval Checkpoints listing grid provides clear insight into upcoming and open approvals. Go to Reports>Pending Approvals to access.
Pending Approval Dashboard
An Approval Dashboard offers a detailed breakdown of inspections awaiting approval by project, checklist, inspector, and more.
Set the Approval Notification
- The selected Approver will see a notification to approve the inspection on the bell notification at the top of the screen.
- Inspections waiting to be approved are listed in the "Recent Notification" panel on the approver's home page.
- The 406IX report can be scheduled to run daily. This will send an email to the selected Approver with a link to the inspection to be approved. This reports runs over night and the approver will receive today's inspections to approve on tomorrow's report.
